Product Launch, Marbella

The brief was to organise a three day meetincentive in Marbella with the aim of launching three new drugs to our client’s women’s health UK sales team

Our Solution

Our client hosted Marbella was chosen based on climate and accessibility, with over 35 flights from the UK, daily and the designated event venue, the Don Carlos hotel, as the best conference venue at destination. The conference was a one off event meant to educate and motivate the sales team in light of the launch of a new drug. 

Communication

Our client created the event logo and we looked after the event branding, from the online registration site to a pre-departure pack which included an itinerary brochure, confirmation of flight arrangements and luggage tags and lanyards, along with the menus for the dinners.  Lanyards were used for both delegate names and itinerary, on the reverse, were handed out to delegates upon arrival.

Challenges

The first real challenge was managing the flight logistics – although all departing the UK on the same day, delegates used 39 different lo-cost flights to arrive to Marbella.

The second real challenge was on site, when two days before the event, our team learned that the main drug to be launched was not ready to be announced yet.  Our team created new programmes excluding the drug and created letters explaining the withdrawal to the arriving delegates. Timings changed and our team had to liaise with the client and their production team in order to brief the hotel.  The good communication and supplier relationships demonstrated by our events team on site, ensured the success of the event.

Highlights

The welcome party which saw the guests party on the beach over cocktails and a hearty barbecue acted as a great ice breaker. The ABBA tribute band set the dance floor on fire during the gala dinner and the half-day activities offered delegates a change to take the shuttle bus into Puerto Banus for shopping, play five-a-side football on the hotel grounds or simply relax by the pool.

The Feedback

Building relationships with the production company ironed difficulties on site.
When dealing with such a complex delegate travel logistics, data management is paramount to the success of the event! The feedback was very positive and the team was commended for their success in communicating critical information with all suppliers on site.
